    PROOF READING NEWS

    Dorset Art Weeks Brochure and on-line Entry 

    We apologise if this all sounds rather brusque and repetitive of earlier information.  We simply want to provide you with all the necessary information you need to deal with next week in one place.

    Proof Reading Week is next week: 19 – 23/24 March 

    There is no scope for dealing with late checks and returns.

    Please check your entry on-line and send any corrections using the method and format described below.

    To access your entry you will need to enter a simple login code and password, This is not the same login and password you had when making your entry.  This time it is the same password for all.

    You will receive the login via the E-mailing system early Monday morning – 19th March

    Proof Reading Week is not an opportunity to re-write text or change images.  This process is only about correct spelling and information.  Any changes that are either late or require a new layout will incur a £25 surcharge.

    What appears is what you submitted – we haven’t amended any content.  If you said you are a ‘stone caver’ we haven’t assumed you are a ‘stone carver’ – yet!  Mistakes are your responsibility.

    Nevertheless, we are also proof reading alongside your efforts and if we are unsure about something, we’ll call you.

    If you have NO CORRECTIONS – please DON’T REPLY.  

    No reply ‘signs-off’ your entry.

    The system will be taken off-line again at midnight on Saturday/Sunday 24/25th March.  This is obviously so corrections and all the other DAW information can be up-loaded.  It will go live to the world on Monday 16th April at the latest.

    CORRECTIONS – Please use the following FORMAT:

    CORRECTIONS MUST reach us by 10am Monday 26th March

    Corrections must be EMailed using the address and format described below:

    EMail: corrections@dorsetvisualarts.org

    Format:

    In the subject box – Enter just your Name, Venue Number and Area.

    Please repeat this information at the head of the text.

    In the text area ONLY PROVIDE THE CORRECT INFORMATION -  please, please DON’T preface the correction with the incorrect version

    Preface a correction with either: 

    • spelling – title  
    • spelling – text
    • Address:
    • Tel:
    • EMail:
    • Web:

     or, in the case of images: 

    • image No. – or image title:
    • image medium:

     or, in the case of the map – simply state :

    • Map  + your telephone number and post code

    As with text, please don’t try to describe the mistake – we will use the OS map locations provided by your Area Coordinator to try to correct the Google Map and we’ll call you to check if necessary

    NB:We cannot guarantee to forward corrections sent to the admin@ or individual E-addresses.

     CORRECTIONS ACKNOWLEDGEMENT

    We will acknowledge that the amendment has been made as quickly as possible.

    If you don’t hear from us by mid-day 02 April – simply email corrections@dorsetvisualarts.org

    Similarly to the correction – please put your name in capitals in the subject box but follow it with – DAW X 2

    Please repeat this in the text and add your phone number.

     HARD COPY

    You will have also have the opportunity next week to see a good – not quite exact – facsimile of the printed version of your entry.  You should have received notification of when and where to see it from your Area Coordinator.  If you haven’t heard from them, please email them.

    Area Coordinators are dovetailing this with their arrangements to support those without computers.

    It is not essential that you see the proof copy, we are also on the case with quality, but you may be interested to see the colour balances and how it is looking.  Compared to systems a few years ago, the printed copy should be very close to the jpeg image you sent, so please don’t feel under undue pressure to chase around after it.

    We all hope the week runs smoothly.  Thank you for all your cooperation so far.

    This arrives with sincere apologies for late arrival.  We hope computers and the mail system works infallibly here-on-in – enough said!  This issue will be followed-up by a DAW Marketing and Tips issue before proof reading week.  NB.     DVA Bursaries – Call for Artists  - This is an exclusive opportunity for 3 Members to undertake a research and development project.  The bursaries – each worth £1500 – forms a discrete element of the current, ambitious Exploratory Laboratory Project.  DVA is involved as member of the Big Picture Consortium.  The funding comes from our ACE Grant Allocation.   Closing date 12 March

    On this fantastic scale, it is important that we work in as collaborative and coordinated way as possible to present a great event, attract even more visitors and encourage greater sales.

    The selection panel identified a further nine images which will make up a DAW Marketing Portfolio for use in other DAW marketing.  These are illustrated throughout this document.  The artists of these works are: Brendon Buesnel, Marzia Colonna, Hugh Dunford-Wood, Susan Fawthrop, Karina Gill, Jamie Hart, Tiffany Scull, Emma C Tabor, Maxine Walter

    4   DAW PROOF READING +MAPPING 19 – 23 March 

    Please read the NB and further outline below.                

    N.B. An additional E-News with the detail of when and how to follow the process will be sent within the next ten days.

    Outline - For the purpose of proof reading, the Dorset Art Weeks website will go live between the 19 – 23 March only.  This window is the only opportunity for you to check your entry.  The end date cannot be extended.

    Artists have already been contacted if basic information or images were missing from their on-line entry.  Nothing has been amended.  Text appears as it was entered.

    The proof reading exercise is focused on spelling and punctuation.  You will also be asked to check your location on the map.  Proof reading week is not a license to change content.  If any re-working of the entry or change of images is ordered a £25 re-design fee will be charged.

    It is a good idea to get someone else to read your entry.  It is well known that rarely is the author the best proof reader of their own work!

    CORRECTIONS – If you find an typing or map error you will be asked to send notification to a dedicated corrections email address: corrections@ –  then add the usual - dorsetvisualarts.org  

    Following proof reading week, the website will again go ‘dark’ whilst corrections, links and any other up-dates are completed.

    The DAW website will go permanently live from the 16 April – 6 weeks ahead of DAW.  This coincides with the date brochures and postcards will go out on the road with the distribution company.

    Coincidental with proof reading week, Area Coordinators will receive an ‘uncorrected’ printed proof.   This enables the ‘ computerless ‘ to check their entry and for anyone to check the colour balance of their image.  This process also has a one-week turnaround.  You will be notified about the management of this by your Area Coordinator.

    Exhibitors stocks of brochures, banners and signs will be available from Area Coordinators four weeks ahead of the event.  The precise local date and method of distribution will come from your Area Coordinator.

    We anticipate artists’ stocks of postcards will be available to all from the 16 April – earlier if possible. The date and details for their use will be sent in the next E-News.

    5 DAW 2012 MARKETING TEAM + WORKING TOGETHER            

    DAW 2012 Marketing is already well underway.  The information given here will be repeated, added to and included in a special Marketing E-News which will be sent out before Proof Reading Week.  All useful documents associated with marketing will be linked as downloadable pdf files.  It will include the DAW logos.

    6 DAW Pull Out Supplements  + ADVERTISING OFFERS TO DAW EXHIBITORS

    We are producing two, special DAW pull-out supplements.  One for the May / June issue of Evolver.  The other for the May issue of Listed Magazine.    This will be designed to promote the whole event and to make the most of any individual adverts artists submit independently – see Advertising Offers below.  This idea was first undertaken by Somerset Art Weeks and worked very successfully.
